Building a passive income business takes strategy, but it also takes tools. However, the number one problem we run into is that most mainstream “recommended” business tools come with a hefty monthly fee that locks you in. If you’re just getting started (or trying to steward your resources wisely), those costs add up fast. We know because we’ve been there.
When our business needed key systems—accounting, graphic design, email, and more we had to go on a deep dive into the world of free and open-source tools. These alternatives saved us money and in many cases outperformed the paid options.
Here’s a small list of some of the best free tools we’ve been using to build and grow a sustainable, passive income business.
Manager.io – A ‘Tail-Saving’ Accounting Solution

When we first started tracking our income and expenses, we hit a wall. Most of the popular bookkeeping software platforms had features locked behind high paywalls—multi-currency tracking, recurring entries and custom exchange rates to name a few. These were things we needed just to do basic business in our region.
Then we discovered Manager.io.
It is a full featured accounting software capable of managing several business profiles and includes the ability to add unlimited users (paid cloud version). It’s free for desktop use, works offline and offers features we often only see in premium software packages. There is also a paid cloud version with features that you may want to upgrade to in the future however we’ve found at least for now that the free forever version is all we need.

Zoho Mail – Free Professional Domain Emails

I’ve seen mixed opinions over the use of Gmail for business however my opinion is that with anything you do in life, “start the way you wish to continue”, as far as you can. Why not start with a clean, professional look for free? Zoho Mail for business offers up to 5 domain email addresses without any extra fees and the option to upgrade affordably to other features down the road.
Inkscape – Vector Design Made Simple (and Free)

For product design, social posts, or even printable worksheets, vector graphics are essential. Inkscape is a robust open-source vector editor that rivals Adobe Illustrator—and it’s free. It’s especially useful for those looking to design logos (svg, png etc), physical and digital products and graphics for website and social media usage. If you’re like us who didn’t have a clue at first, there are a plethora of YouTube video tutorials to learn how to use it for various things.
DaVinci Resolve – Hollywood-Level Video Editing Without the Cost

Most video editors come with a steep learning curve or a steep monthly fee. DaVinci Resolve may be the right fit for you. Although we have not used it extensively as yet, many creative professionals have a lot of positive feedback to offer on the features and have swapped out Final Cut Pro and Adobe Premiere to use it exclusively even after years of being in the creative field. The free version is more than enough for most creators and it’s praised for it’s high-end color grading and transitions.
Mr. Mockup – Professional Product Mockups Without Photoshop

Mr. Mockup offers free PSD mockups for books, apparel, posters, and more. It has a great selection of free options we’ve used via GIMP, as well as affordable premium options licensed for both personal use and commercial.
LibreOffice – A Free Office Suite That Works Offline

If you’re tired of depending on cloud platforms or can’t justify a Microsoft subscription, LibreOffice is a fantastic free document suite. I’ll admit the interface feels a little ancient and I still do use Google Docs as and when for some things, however for most use cases it’s perfectly fine.
RIOT (Radical Image Optimization Tool) – Image Optimization Gold

If you run a website or create visual products, your image sizes can slow things down. RIOT is a small but mighty image compressor. We use it to compress our images before uploading them to the website to maintain good site speed and optimize storage space for our hosting plan. It has the option of batch compressing images, it removes meta data and you can simple drag and drop images. Overall it has allowed us to improve user experience and SEO.
